Privacy policy

This policy explains how Infinity Energy Organisation Ltd. (“we”, “us”) uses personal information in the NVQ Portal: the website and the NVQ Portal apps for Android and iPhone. The portal is free to use for our learners and staff. It shows no advertising, uses no analytics or tracking, and we never sell personal information.

Who we are

What we collect

• Account details: your name, email address, phone number, company, address, date of birth, gender, learner number and profile photo, as given by you or your assessor.
• Your electronic signature, used on your worksheet records, assessment plans and certificates.
• Learning and assessment records: the chapters you read and reading time, your worksheet answers, your assessor's feedback, assessment plans, approvals and certificates.
• Site evidence you upload: documents and videos of your work, which may show you, other people or workplaces.
• Messages between you and your assessor.
• Technical information: a sign-in cookie, cookies that remember your display preferences and which notifications you have read, and server logs (such as IP address and time) kept for security.
• In the apps: if you allow notifications, a device token so we can send them. The camera and microphone are used only when you choose to record a video or take a photo to upload; the apps don't access them otherwise.

Why we use it

• To provide your training and assessment, and to certify your qualification (needed for the training you enrolled on).
• To keep the assessment and certification records that awarding bodies and the law require us to keep (legal obligation).
• To keep the portal secure and working, and to contact you about your course (legitimate interests).
• To send push notifications to your phone, only if you allow them (consent). You can turn them off at any time in your phone's settings.

Who we share it with

• Your assessor, our internal quality assurers and our training staff.
• The awarding body for your qualification (for example City & Guilds) and its quality assurers, to register and certify you and for audits.
• Service providers who run the portal for us under contract: our hosting provider (Amazon Web Services), our email provider (Microsoft 365), and, for app notifications only, Google Firebase Cloud Messaging (Android) and Apple Push Notification service (iPhone), which receive the notification text and a device token.
• Anyone we are required to share it with by law.

Where it is stored

Your information is stored on servers in the United Kingdom or the European Economic Area. Where a provider handles data elsewhere, it is protected by the safeguards UK data protection law requires.

How long we keep it

We keep your account while you are training with us. Assessment and certification records are kept for as long as the awarding body and the law require after your qualification ends, then deleted. Other personal information is deleted when your account is deleted, unless we must keep it for those records.

Your rights

Under UK data protection law you can ask to see, correct or delete your personal information, to restrict or object to how we use it, and to receive a copy of it. Email info@infinityenergyorganisation.com; we reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk or 0303 123 1113.

Deleting your account

You can ask for your account to be deleted in the portal or app (your name › Delete account), or by email. See Delete your account for what is deleted and what we must keep.

Children

The portal is for learners aged 16 and over who are enrolled with us, and for our staff.

Changes

We may update this policy. The date at the top shows when it last changed, and we'll tell you in the portal about important changes.
